Travel Policies & Guest Assurance
Departure Depot
At Departure Depot, we curate and package travel experiences designed to be memorable, seamless, and enjoyable from start to finish. Most trips operate exactly as planned. However, travel involves multiple independent suppliers such as transportation providers, hotels, cruise lines, restaurants, and event venues.
This page explains how things work and what happens if something does not go as planned.
Our Role: Tour Curator & Travel Wholesaler
Departure Depot acts as a tour curator and travel wholesaler, assembling and packaging travel experiences using third-party suppliers including transportation companies, hotels, resorts, cruise lines, restaurants, event venues, and activity operators.
These independent suppliers:
- Operate and control their own vehicles, equipment, staffing, and operations
- Control menus, hospitality services, and seating
- Control event schedules and service formats
- May make changes at their discretion
Departure Depot does not own or operate these suppliers and is not responsible for supplier-controlled changes. However, we will always advocate on behalf of our guests and work with suppliers to help resolve issues when possible.
Transportation Policy
Transportation for Departure Depot trips is operated by licensed third-party motorcoach and transportation companies.
Travel, by nature, involves variables such as:
- Traffic
- Weather
- Road conditions
- Mechanical issues
- Dispatch delays
- Accidents or road closures
These situations are outside of Departure Depot’s control but can occasionally impact schedules.
Transportation Delay Guidelines
| Delay Length | Guest Assurance |
|---|---|
| Under 60 minutes | Considered a normal travel delay |
| 1–2 hours | May receive a $25–$50 per person travel credit |
| 2+ hours | May receive a $50–$100 per person travel credit |
| Delay causes missed major included experience | Reviewed case-by-case |
Any compensation is typically issued as a future travel credit.
Hotels & Resorts
Hotels and resorts are operated by independent companies. Room assignments, maintenance, cleanliness, and service are controlled by the hotel.
If an issue arises:
- Guests should notify the front desk immediately
- The hotel is responsible for resolving room-related issues
- Departure Depot will assist and advocate when needed
Included Meals & Hospitality
Many Departure Depot trips include dining, hospitality, or food service experiences operated by stadiums, event venues, hotels, cruise lines, restaurants, or catering companies.
Important: Menus, service times, and hospitality formats are controlled by the venue and may change without notice.
| Situation | Resolution |
|---|---|
| Menu changes | No compensation; venue controlled |
| Food quality complaint | Feedback provided to venue |
| Meal missed due to Departure Depot transportation delay | Partial credit may be issued |
| Meal missed due to guest late arrival | No compensation |
Events, Tickets & Venues
Event venues control game times, concert times, seating areas, hospitality formats, food service, parking, and entry procedures. These items may change without notice.
| Situation | Resolution |
|---|---|
| Game time change | No compensation |
| Artist cancellation | Venue policy applies |
| Weather impacts | No compensation |
| Venue changes seating or hospitality | No compensation |
| Comparable seating provided | Considered fulfillment |
Force Majeure
Departure Depot is not responsible for delays or changes caused by events outside of our control, including but not limited to weather, traffic, mechanical issues, road closures, accidents, strikes, venue operational changes, artist or team schedule changes, ferry delays, government actions, or public safety restrictions.
These are considered Force Majeure events and do not qualify for refunds.
Service Recovery
If a service failure occurs within Departure Depot’s control, we may provide travel credits, partial refunds, future trip discounts, or on-trip service recovery such as meals, drinks, or transportation adjustments.
All service recovery is evaluated case-by-case and is typically issued as a future travel credit.
Travel Credits
- Valid for 12 months from date of issue
- May be used on any Departure Depot trip
- Have no cash value
- Are non-transferable unless approved by Departure Depot
- Must be used before expiration
Travel credits are the standard form of compensation in the tour and travel industry.
